Kyocera Scan to Email Setup on a NS-30

 

(Detailed instructions can be found in the Scan System Operation Guide)

 
  1. Open web browser (ex. Internet Explorer or Netscape). Once the browser is open, click File then click Open. When the dialog box opens, type in the Scanner’s IP Address and then click OK. This will open the NIC card in a web browser so you can make needed setting changes.

  1. On the left side click on ‘System Basic Settings’.

  1. The Host name can stay set at the default setting.

  1. IP Address (of Scanner) ___________________________

  1. Subnet Mask (of Scanner) _________________________

  1. Default Gateway (of Scanner) ______________________

  1. RARP- set to ‘Enable’ (for most email servers RARP needs to be enabled).

  1. DNS Server (Primary) ____________________________

  1. DNS Server (Secondary) __________________________

  1. SMTP Server Name ______________________________ (example: mail.acme.com)

  1.  Administrator Email _____________________________ (This is not required but if an email address is entered her it will receive error emails from the scan system. The key operator is a good person to receive these messages if any one is going to.)

  1. Click on the Registration button at the bottom of the page.

*Note: any setting on this browser page not discussed can remain at the default setting, normally, or is not related to the Scan to Email set up.

 

  1.  Click ‘SMTP Authentication’ (at top of System Basic screen).

  1.  ‘Enable’ Authentication. (if your email server requires authentication)

  1.  ‘Login Account Name’ ____________________________ (This can be the key operators email address login name or any email address that can authenticate on your email server. It is only used to make initial connection and authentication when the Scan to Email is selected.)

  1.  Click ‘Yes’ for change password.

  1.  ‘New Password’ _______________________ Type the password in twice, once under ‘New Password’ and once under ‘Confirm New Password’ 9 (This is the email password associated with the email address user name used for ‘Login Account Name’).

  1.  Click ‘Registration’ at the bottom of the page.

  1.  Click on the ‘Email Basics Settings’ on the left side (these settings normally remain at default).

  1.  Change ‘Data Size’ to ‘Non-restricted.

  1. Under ‘Subject’ fill in the customer’s company name (if the is left blank some spam filters my reject the email).

  1. Click on ‘Destination List’ under Email Basic Settings on the left side. (In this section up to 100 destination email addresses can be stored or you can use the ‘Address Book Utility’).

  1. Click on one of the blue numbers to program a destination name and email address. Single or Group Registration can be done here.

  1. When the new window opens, choose ‘Single’ or ‘Group’ Registration.

  1. Fill in ‘Registration Name’ (a name associated with the email address).

  1. Fill in the ‘Email Address’.

  1. Click on ‘Registration’ button at the bottom of the page.

  1. Repeat steps 10 through 14 to add additional email addresses. 

 

If the Senders list wasn’t already set up for ‘Scan to PC’ to include email information it will need to be done at this time.

 

  1.  On the left side of the web browser window under ‘Systems Settings’ click on ‘Senders List’ (In this section you can program up to 40 ‘Senders’/users).

  1. Click on the blue numbers to program in ‘Sender’ settings and information.

  1. ‘ Registration Name’ _____________________________ (This is a name associated with the sender and will be displayed on the scanner’s operations panel)

  1. ‘Email Address’ __________________________ (this is the email address of the user)

  1. ‘Address of Address Book installed PC’ _______________________ (this is the IP address of the PC that is running Kyocera Mita’s Address Book, if it is being used)

  1. ‘Save Number’ ________ (This is the number that corresponds to the destination computer that will be used under ‘Scan to PC’ function, if that feature is used. The save number can be 001-100).

  1. ‘Signature Line’ ______________________________________ (If used this information will be sent with every email).

  1. Click ‘No’ under change password (If this password is used it is an administrative password for this sendon the er (user).

  1. ‘Login Account Name’ _____________________________ (this is the email address user name for this sender).

  1.  Click ‘Yes’ for change password.

  1.  ‘New Password’ _______________________ Type the password in twice, once under ‘New Password’ and once under ‘Confirm New Password’ 9 (This is the email password associated with the email address login used for ‘Login Account Name’).

  1. Click ‘Registration’ at the bottom of the page.

  1. Repeat steps 28 through 38 to add additional email addresses.
